The everyday reality

Three problems every accountancy practice lives with

Payroll data in the inbox, forever

The client sends you payslips and HMRC communications via email. Tax data (salary, NI numbers, dependants) sits in the Gmail archive, indexed by Google, backed up on iCloud. Years of sensitive data, subject to ICO scrutiny, in the worst place imaginable.

P60s shared via Dropbox links

Before the 31 January deadline you send P60s and account drafts via Dropbox "Anyone with the link can view". The link stays online for years. Google indexes it. An ICO inspection finds 80 clients exposed. Fines of £15,000 per negligent breach.

Six years of archives in random folders

HMRC retention obligation is 6 years, but documents are scattered: a client in Google Drive, another in OneDrive shared by the intern who left. When a client needs their file back for a dispute, retrieval takes two days.

Built for accounting practice

Features designed for numbers people

Direct import: email and WhatsApp

Clients send you P45s, invoices, payslips via email and WhatsApp daily. Forward to a dedicated firm address — they land encrypted in the correct client folder. No downloading, renaming, uploading. Security checks (antivirus, sanity check, whitelisted senders) take less than a second and happen only in volatile memory.

Client area organised by tax year

Each client has a dedicated vault structured by tax year. Sub-folders pre-configured: payroll, VAT, Self Assessment, accounts, corporation tax. Templates adapted to UK practice standards, customisable.

Bidirectional exchange with clients

The client uploads invoices and receipts; you upload the finalised accounts and tax computations. Both parties see what's happening: no more "did you receive my email?"

Practice team with granular permissions

Associates, bookkeepers, payroll assistants each see only the clients assigned. Client's tax details invisible to bookkeeping team if not relevant. Access tracked, revoked in one click when someone leaves.

Audit trail for ICO and HMRC inspections

Every access to a file recorded: who, when, which IP, which document. One click exports a digitally signed log ready for an ICO audit. Covers GDPR Art. 32 accountability obligations.

Automatic 6-year retention

Configured with HMRC retention periods (6 years for most records). Automatic archival after the period. Certified deletion with court-admissible certificate at expiry.

How it actually works

January 31st doesn't have to be hell

Chartered accountant Patel manages 80 clients. January, Self Assessment deadline. Instead of rummaging through 80 email threads with attachments of questionable age, she opens Securoo.

Each client has their 2024 folder. Payslips and CIS vouchers are already inside — uploaded by the clients themselves during the year, or imported via WhatsApp forward. She completes their Self Assessment, uploads the computation into the client's vault, sends them a signed link to review.

The client opens the computation from their phone, confirms with PIN + 2FA that they've reviewed it: certified acknowledgement. Patel files to HMRC, archives the evidence of acknowledgement alongside the return.

If HMRC later queries a specific entry, Patel retrieves the exact document used, the exact time it was approved by the client, from which IP. Nothing lost, nothing reconstructed.

Before, my January was a triage of 40 email chains per day. Now clients upload to their vault throughout the year. I save six working days just in retrieval time.

FAQ for accountants

Questions we get from practitioners

Does this satisfy ICAEW / ACCA practice requirements on client confidentiality?

Yes. End-to-end encryption with zero-knowledge architecture is the strongest technical guarantee of confidentiality available. Combined with granular access permissions and audit trail, it exceeds the technical expectations of ICAEW and ACCA on client data protection. We provide a compliance statement mapping our controls to PCRT and equivalent.

What about HMRC Making Tax Digital?

Securoo is a document vault, not MTD software. Works alongside your MTD-compliant bridging or accounting software (Xero, QuickBooks, FreeAgent, Sage). Connectors for Xero and QuickBooks available on Business and Enterprise plans.

Can I share specific documents with HMRC securely?

Yes. You can generate a time-limited, download-limited link for HMRC. For the certified acknowledgement path, the recipient (HMRC officer) confirms receipt with 2FA — which gives you court-admissible proof of delivery.

How does pricing work for larger firms?

Solo (£39/month): 1 practitioner, 20 client areas. Studio (£89/month): 3 practitioners, 100 client areas. Business (£199/month): 10 practitioners, 500 client areas. Enterprise for larger firms, custom pricing with dedicated infrastructure.
